4. Legal Basis for Processing

  • Article 6(1)(b) — Contract: Where processing is necessary to fulfil an order, quotation, or other contractual obligation.
  • Article 6(1)(f) — Legitimate Interests: Where we conduct B2B outreach to named professional contacts whose business details are publicly available and where there is a genuine and relevant business reason for contact. We rely on this basis only where our interests are not overridden by the rights and freedoms of the individual. 5. B2B Outreach & German UWG Compliance

Where we conduct cold B2B email outreach to contacts in Germany or other EU member states, we do so in compliance with both GDPR and, where applicable, the Gesetz gegen unlauteren Wettbewerb (UWG — German Unfair Competition Act), which imposes additional requirements on unsolicited commercial communications beyond those set out in GDPR.

Our outreach process requires that:

  • The recipient's business email address is publicly listed in a professional context
  • The communication is directly relevant to the recipient's professional role or business activity
  • Every email clearly identifies UK Print and Pack as the sender, including our company name and contact details
  • Every email includes a clear, simple opt-out instruction that is acted upon immediately and permanently
  • A record of the legitimate interest basis and data source is maintained for each contact

Cold calling is not conducted in Germany without prior consent or an established business relationship. LinkedIn outreach to named professionals is used as a compliant alternative channel.

6. International Data Transfers

UK Print and Pack's operations involve data processing in India, which is not classified as a country providing an adequate level of data protection under EU GDPR. Where personal data relating to EU/EEA data subjects is transferred to India, we rely on Standard Contractual Clauses (SCCs) as the legal transfer mechanism, as approved by the European Commission. Copies of the applicable SCCs are available on request.

7. Retention

Contact data submitted via the enquiry form is retained for up to 36 months from the date of last contact, after which it is securely deleted. B2B prospect contact data collected under Legitimate Interest is retained for up to 24 months from the date of last contact. Where an opt-out or erasure request is received, the relevant personal data is deleted within 30 days and a record of the request is retained for compliance purposes.
